What the current guidance says

The Residential Tenancies Authority says the tenant must return the signed and completed report within seven days after the later of the day they occupy the premises or the day they receive the report.
Confirm the date that applies to your own agreement and current official form.
How to build the supporting record
Write disagreements directly on the form, keep a copy, and use wide and close-up photos to show context. The RTA compares the entry report with the exit condition report at the end.
- Read the supplied official document first.Do not use an app as a substitute for the required form or written statement.
- Work room by room.Record ordinary condition as well as marks, missing items, cleanliness issues and supplied fixtures.
- Keep wording factual.Describe what is visible and where it is. Avoid guessing who caused it.
- Preserve originals.Keep the original images, the official report, your returned copy and written communications.
- Create a separate later record.Do not rewrite move-in evidence when something changes. Record the later condition with a new date.
Room-by-room photo checklist
Wide views
Photograph each wall, floor, ceiling, doorway and the overall room layout.
Close details
Capture chips, stains, scratches, cracks, moisture, missing parts or cleanliness issues with context.
Included fixtures
Record supplied appliances, cabinetry, windows, blinds, lights, taps, meters and keys where relevant.
Comparable angles
For move-out, repeat useful move-in angles so a reader can compare without guessing.
Do not include people, private documents or unrelated personal belongings unless necessary for your own record.
